Shift Management
Edit Shifts
In general, we recommend editing data using the ease of Excel on a computer. However, there are times when you may wish to perform these tasks on the time clock. When editing data on the time clock, you will use the numeric keypad to enter numbers, letters, and symbols. See Keypad Characters further down in the manual for assistance.
The example below shows how to edit a shift:
- Press [Menu], select Shift, and press [OK]
- Select Edit shift and press [OK]
- Select the shift you wish to edit and press [OK]
- In the Name field, press [OK] to activate the keypad
- Press the keypad number that is next to the letter you wish to enter until the letter you want displays
- Press the keypad number next to the letter you wish to enter until the letter you want displays
- Repeat step 6 until complete
- Press [ESC] to exit shift name and move to the next field
- Use the arrow keys or keypad to change the shift times and press [OK] to move to the next field
- Use the arrow keys to change the hour types and press [OK] to move to the next field, use Sign for regular hours and OT for overtime hours
- Repeat steps 9 and 10 until complete
- Use the arrow keys or keypad to change the Cutoff Time and press [OK]
- The time clock will prompt you with “Save?”, press [OK]
- Press [ESC] repeatedly to exit the menus or simply allow the menus to time out
Cutoff Time
The Cutoff Time allows you to set the time at which a new workday begins. For companies that do not have overnight shifts, the workday typically begins at 12:00AM. Some companies, however, may have employees who work overnight shifts and want punches to be assigned to the appropriate work day.
For example, if a workday starts at 10:00PM and an employee punches in at 10:05PM, the punch will appear on the next day in the time card.
Cutoff times can be changed per shift and by default are set to 00:00 (or 12:00AM). See the Shift Setup section of the manual and read the instructions at the top of the Excel spreadsheet to set up cutoff times in the Shift setup sheet.
Download Shifts
If you wish to edit your existing shift data using the ease of Excel on a computer, follow these steps:
- Plug the flash drive into the side of the time clock
- Press [Menu], select Shift and press [OK]
- Select Download Shift and press [OK]
- When complete, press [ESC] repeatedly to exit the menus or simply allow the menus to time out
- Remove the flash drive from the time clock
- Follow the steps in the “Using the Shift Setup Sheet” section of this manual
- When finished editing the shift data, save the file back to the BioLook flash drive and upload it to the time clock
Upload Shifts
- Eject and remove the BioLook flash drive from the computer
- Plug the flash drive into the side of the time clock
- Press [Menu], select Shift and press [OK]
- Select Upload Shift and press [OK]
- When finished, press [ESC] repeatedly to exit the menus or simply allow the menus to time out
- Remove the flash drive from the time clock
Late Arrivals and Early Departures
Late arrival and early leave settings give the ability to set grace periods in minutes so employees can arrive late or leave early without marking late and early punches in red on the time card. These rules are used with shifts so when an employee punches in later than their shift start time and the earlier than the end time thresholds, the punch will be red on the time card. This allows managers to quickly isolate punches that are outside of the company’s attendance policies or procedures.
If you do not want irregular punches highlighted, or you have more than 5 shifts, you can simply assign an employee to shift zero. Shift zero will print all the employee’s punches in black.
To set the late arrival and early leave grace period, follow these steps:
- Press [Menu], select Shift, and press [OK]
- Select Atten rules and press [OK]
- Select Late time to set the late arrival time setting and press [OK]
- Use the arrow keys or keypad to set the minutes and press [OK]
- Select Lea time to set the early leave time setting and press [OK]
- Use the arrow keys or keypad to set the minutes and press [OK]
- When finished, press [ESC]
- The time clock will prompt you with “Save?”, press [OK]
When the employee’s arrival and leave time exceed the grace period, their punches will be treated as late and early.
Repeat Verify
To change the re-verify time, follow these steps:
- Press [Menu], select Shift and press [OK]
- Select Atten rules and press [OK]
- Select Re-Verify and press [OK]
- Use the arrow keys or keypad to change a setting and press [OK]
- When finished, press [ESC] once
- The time clock will prompt you with “Save?”, press [OK]
- When finished, press [ESC] repeatedly to exit the menus or simply allow the menus to time out
AutoSign
For an added layer of control, the AutoSign feature allows you to dictate a specific time throughout the day when an employee must punch in or out. AutoSign can be applied for any and all punches, and can be modified accordingly. Any punches outside these specific times will designate the employee as being absent for the day.
- Press [Menu], select Shift and press [OK]
- Select Atten rules and press [OK]
- Select Auto sign and press [OK]
- Use the arrow keys to select an option and press [OK]
- When finished, press [ESC] once
- The time clock will prompt you with “Save?”, press [OK]
- When finished, press [ESC] repeatedly to exit the menus or simply allow the menus to time out
